Accessing the Insurance Tab
1. Log into VIVE and click the My Vendors tab on the left menu panel. Users should search for a specific vendor and click on that vendor.

2. Click on the tab labeled "Insurance" on the left panel menu.

The Insurance Table will display all insurance policies associated with the vendor, including policy types, , expiration dates, and compliance status.

Viewing Vendor Insurance Details
The Insurance Tab includes key details about the vendor’s coverage. Each row in the table represents a specific insurance policy required for compliance.
Column |
Description |
Policy Type |
Identifies the insurance coverage (e.g., General Liability, Workers’ Compensation, Auto Liability, Professional Liabiity). |
Policy Number |
The unique identifier assigned to the insurance policy by the provider. |
Expiration Date |
Indicates when the policy expires. Vendors must submit updated certificates before this date. |
Compliance Status |
Displays whether the policy meets client requirements (Pass, Fail, Missing, or Expired). |
Agent Name |
Display name of Insurance Agent |

Downloading Certificates of Insurance (COIs)
Users can download a vendor’s COI directly from the Insurance Tab for a full review.
How to Download a COI:
- Navigate to the Insurance Tab in a Vendors Profile.
- Identify the the correct insurance policy you need to review.
- Click on the "Download COI" to retrieve a copy of the vendor’s Certificate of Insurance (COI).
Tip: Downloading the COI allows users to verify the insurance details beyond the data listed in VIVE, ensuring full compliance with client policies.
Understanding Status in the Insurance Tab
Each vendor’s insurance is reviewed for compliance with client-specific requirements. The status of each policy is categorized as follows:
- Active– The policy meets all required coverage amounts and compliance standards and is currently Active
- Expired – The policy has expired, and a new COI has not been provided.
- Missing - VIVE has requested the COI from their vendor and their insurance agent, and VIVE has not yet received the policy.
- Reviewing - VIVE has receive the COI but not all requirements have been met. VIVE is working with the vendor to determine if the vendor will choose to meet the insurance requirements.
Important: If any part of a vendor’s insurance does not meet the minimum requirements, the entire insurance review fails, and the vendor will not be approved until all compliance gaps are resolved.
Best Practices
- Communicate with vendors early if their insurance status is failing, missing, or expired, so they can provide updated documentation.
By using the Insurance Tab in VIVE, users can efficiently manage vendor compliance and ensure all required coverage is up to date and properly documented.
