Adding a Compliance Exempt Vendor in VIVE
Adding vendors in VIVE ensures that service providers are properly listed and categorized based on compliance requirements. There are two types of vendor additions:
- Non-Verified Vendor: A vendor that needs to register with VIVE but has not yet completed verification.
- Compliance Exempt Vendor: A vendor manually added by the client that is not required to go through VIVE's compliance vetting process.

What is a Compliance Exempt Vendor
Compliance Exempt vendors are exempt from the vendor compliance vetting process. These vendors are added by the client and are not vetted by VIVE’s team. These vendors are maintained completely by the client. VIVE does not perform any vetting for vendors in a status of compliance exempt.
Vendors may only be in VIVE once. Compliance Exempt vendors are unable to register as regular vendors.

Navigating to the Vendor Management Section
Click on the My Vendors icon at any time to open the page, which displays a complete list of all vendors assigned to the client.
Click the "ADD VENDOR" button (located below the map and above the vendor list).
A pop-up window will appear asking whether you want to:
- Add a Non-Verified Vendor
- Add a Compliance Exempt Vendor
Adding a Compliance Exempt Vendor
A Compliance Exempt Vendor is a vendor that is not required to meet VIVE’s compliance standards. This vendor is added manually by the client and maintained outside of VIVE’s verification system.
- Click "ADD EXEMPT VENDOR".
- Fill in the required Company Information:
- Legal Name (Required)
- DBA (Doing Business As) (Optional)
- Tax Structure (Select from the dropdown)
- Company EIN (Tax ID)
- Compliance Exempt Vendor Type (Required selection)
- Enter Address Information as required.
- Add Contact Information including Name, Phone, and Email.
- Click "SAVE" to add the Compliance Exempt Vendor to the system.

Set Up Compliance Exempt Vendor Types
To define your exempt vendor categories:

Go to Admin > Compliance Exempt Setup

Click Add Compliance Exempt Vendor Type (top right)

Enter a name for the vendor type (e.g., "Board Member", "Storage")

Choose whether Tax ID fields are required for this type

Click Save
📌 Tip: These types will populate the dropdown menu when adding an exempt vendor later.
Best Practices
- Compliance Exempt vendors are unable to register as regular VIVE vendor. Only add compliance exempt vendors if they do not go on property and will never need to be a VIVE verified vendor.
- If a vendor needs to be vetted by VIVE, always add them as a Non-Verified Vendor.
- Compliance Exempt Vendors do not receive compliance emails and are manually maintained by the client.
- Ensure all contact details are accurate to avoid delays in vendor communications.
