Adding a Contract
Overview
The VIVE Contract Management feature allows you to easily create, manage, and review contracts associated with your vendors and sites. Follow this guide to effectively navigate and utilize this feature.

Navigating the Contracts Tab
Accessing Contracts:
- From the main VIVE dashboard, click the CONTRACTS tab from the left-hand menu.
- You will see a list of current contracts with relevant details such as Contract Name, Site Name, Vendor, Status, Expiration Date, Auto-Renew, Contact Name, and Email.
Creating a New Contract
Step 1: Add Contract Details

Click the ADD CONTRACT button.

Fill in the required fields:

Contract Name
-
Contract Start Date
-
Contract Expiration Date

Clients have the option to complete additional contract fields, including:

Cancellation Alert Reminder Date
-
Contract Billing Frequency
-
Delivery Method of Cancellation Notice
-
Total Contract Value
-
Early Termination Terms
-
Contract Auto-Renews
The Cancellation Alert Reminder Date will trigger an automated email notification to the primary contact listed on the bid, reminding them of the upcoming cancellation date.

Click UPLOAD CONTRACT FILES if applicable.

Once complete, click SAVE AND CONTINUE.
Step 2: Choose a Site

You will be directed to select a site to associate with the contract.

Use the search bar or scroll through the site list.

Select your site by clicking on it.

Once selected, the site's primary contact details will populate.

Verify and edit details if necessary.

Click SAVE AND CONTINUE to proceed.
Step 3: Choose a Vendor

Select a vendor from the displayed vendor list.

Use filters or search bar to quickly find a vendor.

Clicking on a vendor will populate the vendor’s primary contact information.

Review and edit contact details if needed.

Click SAVE AND CONTINUE.
Step 4: Final Review

Review all entered contract, site, and vendor information carefully.

Ensure accuracy and completeness of data.

If edits are necessary, use the BACK button to return and adjust the previous steps.

Once verified, click FINISH to save and finalize the contract.
