Vendor Status Definitions in VIVE
Understanding vendor status types in VIVE is essential for tracking where a vendor is in the registration and approval process. Each status defines the current standing of the vendor and what actions, if any, are required.
Registering
The vendor has started the VIVE registration process but has not yet completed all required steps. Vendors in this status will receive automated reminders to finish registration. No compliance review is performed by VIVE while in this status. Registering vendors will move to Inactive after four months if registration is not completed.
Awaiting Payment
The vendor has completed all registration steps, except payment of the annual registration fee. Like Registering, VIVE sends email reminders and does not conduct any vetting at this stage. Awaiting Payment vendors will move to Inactive after four months if registration is not completed.
Registered
The vendor has completed registration and payment. VIVE initiates its review process, including outreach to the vendor's insurance agent for the Certificate of Insurance (COI). The status will soon transition to Reviewing.
Reviewing
The vendor is under active review by VIVE. During this period, VIVE works with both the vendor and their insurance agent to obtain required documentation. Vendors can remain in this status for up to 30 days. If all requirements are met, the vendor will be Approved; otherwise, they may be Suspended.
Approved
The vendor has passed all VIVE and client-specific compliance requirements. Approved vendors are considered eligible and vetted. VIVE continues to monitor insurance expiration and requests updated COIs as needed.
Suspended
The vendor has not met the necessary compliance standards within the allowed timeframe. While communication from VIVE typically stops at this stage, vendors can still submit updated documentation for re-evaluation.
Renewing
Vendors in this status have recently submitted payment for their annual renewal. VIVE reviews updated business information, licensing, and ownership details before assigning a new status. Renewing vendors were previously Approved and are eligible for work on the client's properties.
Inactive
The vendor's registration has lapsed due to one of the following reasons:

Registration was not completed within 4 months

Vendor was in a "non-verified" status for more than 120 days

Vendor requested to be deactivated
No compliance checks or reminders are issued for vendors in this status.
