Accessing a Vendor’s Documents
This article explains how to locate, update, and access vendor documents such as W9 forms and Certificates of Insurance (COI) in VIVE.

Navigate to the Vendor Details Page
- Log into VIVE.
- Click on “MY VENDORS” in the left-hand navigation panel.
- Select the vendor you need to review.
- After selecting the vendor, a submenu on the left screen will appear for that vendors profile.

Open the Vendor’s Document Section
- In the vendor's profile, click on “DOCUMENTS” from the left-hand menu.
- A list of uploaded W9, COI, and other compliance documents will appear.
Upload Documents
- Upload documents above the grid on the right hand side of the screen.
- A screen will pop-up allowing you to choose what type of of document you want upload.
- You will get a pop-up message after you successfully upload the document and it will show in the grid.

Filter & Download Documents
- Filter by File Type: Enter W9 or COI in the Type field to find relevant files. Please note W9s and Vendor Service agreements are only available to Admin users.
- Search by Date or User: Use the Date & User columns to find specific uploads.
- Download a Document: Click the download icon (⬇️) next to the file you need.
Additional Tips
- Reset Filters: If no results appear, click "Reset Result Filters" to refresh.
- Check Permissions: W9s and Vendor Service agreements are only available to Admin users.
