How Do Vendors Register in VIVE
VIVE offers a streamlined registration process for vendors to become certified and connect with client-managed properties. Vendors complete a step-by-step application that includes compliance documentation, licensing, insurance, and payment submission. This article outlines the full registration flow with updated screenshots and guidance.
Getting started...How Vendors Begin Registration
Vendors can begin registration in one of two ways:
- Via Client-Branded Link: Most clients provide a unique VIVE registration link on their website.
- Via Email: Respond to a registration link received from VIVE or the client.
- Via VIVE Agent: Contact VIVE's customer service to receive a client-specific link.
From there, they will land on the Vendor Registration page for the client.
Once on the registration page, there will be options to either:
- Register Now if this is your first time as a vendor in VIVE or
- Sign in to an existing account if you already have a VIVE vendor account.
If an error is received that says an account already exists, either your company's Tax ID and/or your email is already associated with a VIVE account. Use the login option to add the new client to your existing account.
Passwords must meet complexity standards: 8+ characters, one uppercase, one lowercase, one number, and one special character.
Step 1: Company Information
Complete the "Create Account" page:
- Enter Legal Name, DBA (if applicable), Tax Structure, and Tax ID (EIN, SSN, or GST/HST). The legal name entered must match the legal name registered with the IRS or Canada Revenue Agency. VIVE will be unable to approve your account if the legal name and tax ID do not match.
- Provide contact details including office phone, email, and password credentials.
Step 2: Business Addresses
Provide all required address information for your business. Notice that up to three addresses can be entered:
- Street address
- Mailing address
- Remit-to address
When complete, select "Contact Info" to proceed to the next step. Notice on the bottom left you can see a progress bar indicating the step you're currently on.
Step 3: Who should we contact? Provide contact information.
There are multiple defined contact types available.
- Compliance contact
- Bids contact
- Billing contact
There is no limit to the number of unique contacts that can be added to your account.
Once all contacts are added, select Trade Info to proceed to the next step.
Step 4: Trade Info
Tell us the services you offer. Your trades and service area are part of your compliance records. They determine which licenses are necessary, based on state or province requirements, which work you're eligible for and the bid opportunities you can be invited to.
Once you have added service area and trades, choose Next to proceed to the next step.
Step 5: Trade Licenses
Based on the trade information provided and states serviced, you will be prompted to upload the appropriate trade licenses. All required licenses must be uploaded before you are allowed to proceed to the next step.
- Click Upload License
- Select the file to upload
- As you upload a license, you then select the applicable trade for the license.
Trades and licenses are reviewed by VIVE for accuracy and validity. VIVE will validate with the governing board that the license is valid.
Step 6: Insurance Information
Download and review the client insurance requirements, then select the checkbox confirming you have reviewed the sample certificate of insurance and authorize VIVE to request insurance information from your agency. Multiple agents can be added if you have more than one agent.
Each client has insurance requirements specific to the policies listed on the page.
- Enter insurance agent's contact details
- Select the policies handled (e.g., General Liability, Workers Comp, Auto, etc.). All required policies must be assigned to an agent for outreach purposes.
- If you have more than one insurance agent, enter each agent and the associated policy they handle.
- If your business is workers' compensation exempt, click the "I am exempt from providing Workers' Compensation Insurance" checkbox. This checkbox is only available if your business meets state exemption laws and the client allows their business partners to be approved without workers' compensation coverage.
Once complete, proceed to the next step to Sign Documents.
Step 7: Sign Your Documents
Here you will be presented with the Vendor Service Agreement and W9 for review and signature.
- Scroll through and sign the Vendor Agreement and select each of the required acknowledgements.
- U.S.-based vendors must also review and sign an auto-generated W-9 and select each of the required acknowledgements.
If the W-9 contains errors, go back to Step 1 and correct entity or TaxID details.
Once complete, select Sign Now.
Step 8: Final Review
Before submitting your registration:
- Click through each section to confirm accuracy
- Click Get Verified
Step 9: Payment
Enter your credit card information or connect a bank account to proceed with payment.
After entering payment information, click ADD PAYMENT. This will allow the user to SUBMIT PAYMENT.
VIVE charges an annual registration fee to complete the vetting process. This payment:
- Covers vetting of licenses, insurance, and business legitimacy.
- Is non-refundable, even if you do not meet client compliance requirements.
After Registration is Complete
Once payment is submitted:
- VIVE begins reviewing the information submitted (Business info, trade licenses, etc.)
- VIVE actively reaches out to the vendor's insurance agent to obtain and verify proof of insurance
- Notifications are sent via email if updates or corrections are needed.
- Vendors can always log in and see their status and any items that need their attention on their VIVE Dashboard.
