Whether you're looking to find vendors in a geographical area, sort by trades, or customize the vendor table for better visibility, this guide will equip you with the necessary tools to streamline your workflow.
What Is "My Vendors"?
My Vendors are vendors that have started registration with your company. They can be in any status, from Registering to Approved to Suspended, but all are associated with your business.
This is different from Find New Vendors, which shows vendors that exist in VIVE but are not yet associated with your company.
Click on the My Vendors option at any time to open the page, which displays a complete list of all vendors associated with your business. By default, the page loads in grid view. Use the Show map toggle at the top of the page to switch to a map view and search for vendors by location; toggle it back off to return to the grid.
Understanding the Vendors Table
The Vendors Table provides in-depth information about each vendor associated with your company. Below is a breakdown of the table's key features and column headers.
Column Headers & Their Functions

| Vendor Rank | Signifies spotlight vendors. This is an optional feature in VIVE. A vendor's rank appears in this column, with vendors automatically sorted so spotlight vendors appear at the top of the screen. |
| Vendor Name | Displays the legal vendor name entered into VIVE. The legal name matches Tax records if the vendor has been approved. |
| DBA (Does Business As) | If applicable, lists the vendor's trade name. Businesses are often known by their DBA rather than their legal name. |
| VIVE Status | Shows the vendor's current status within VIVE. VIVE highly encourages using only approved vendors to reduce risk to your business. By default, Inactive vendors are filtered out of your view. |
| City | Indicates the vendor's physical location. |
| Trades | Lists all trades entered during vendor registration. Approved vendors are approved for only the trades listed in VIVE. Do not hire vendors to perform trades for which they are not approved. |
| Vendor Rating | Displays an internal rating assigned by your company (not visible to vendors). |
Searching for Vendors
The My Vendors grid is fully customizable. Create your preferred grid layout (filters, sorts, and columns) and quickly return to it, or clear everything back to default.
Searching Tip: VIVE Status Filters Out Inactive Vendors by Default
The VIVE Status column filter is automatically set to exclude Inactive vendors, so the grid only shows active/approved vendors unless you change it.
To view Inactive vendors:
- Click into the VIVE Status filter field (above the grid).
- Add Inactive to the filter selection.
- The grid will update to include Inactive vendors alongside whatever other statuses you have selected.
If you don't see a vendor you're expecting in your results, check this filter first — it's the most common reason a vendor appears to be "missing."
Two Types of Search
There are two different ways to search in the vendors grid, and they behave differently.
Universal Search (Search bar above the grid)
- Type a keyword into the Search for anything... field at the top of the table to search across all columns at once. The system will return any vendor whose name, trade category, or other details contain the search term.
- This search is forgiving, it looks for a match anywhere in the data and doesn't require exact spelling, spacing, or punctuation.
- Best for a quick, broad search when you're not sure which column your term falls under, or you just want to cast a wide net.
- To clear a search, delete the text from the Search field or click Reset Result Filters.
Column Header Search (Filter fields under each column)
- Typing into the filter field under a specific column header (e.g., Vendor Legal Name, Trades, City) searches only that column.
- This search requires an exact match. If your entry is missing a space, period, comma, or otherwise doesn't match the data exactly as it's entered in the system, the result will not appear.
- Because businesses can be known by a DBA, it's often preferable to use universal search when searching by a vendor's business name.
- Best when you know precisely which column and value you're looking for, and want to narrow results quickly.
Example: Entering "Electrical" in the Trades search column will return vendors that list "Electrial" as a trade.
Tip: If a column search isn't returning a vendor you expect to see, try the universal search bar instead. It's less likely to miss a result due to a small typo or formatting difference.
Issue: Vendor Not Appearing in Search Solution: Ensure the correct spelling is entered. Try using a partial search term (e.g., "paint" instead of "painting services"). All data is entered by the vendor during registration, and it is the vendor's responsibility to ensure their information, including legal name and DBA, is entered accurately.
Sorting and Filtering Vendor Data
Column Menu (Sort, Resize, Save/Load/Reset)
Click the three dots (⋮) in any column header to open that column's menu. From here you can:
- Sort Ascending — sort the grid by this column, low to high (or A–Z).
- Sort Descending — sort the grid by this column, high to low (or Z–A).
- Clear Sort — remove sorting on this column.
- Autosize This Column — resize just this column to fit its content.
- Autosize All Columns — resize every column in the grid to fit its content.
- Reset Columns — return column order, visibility, and width to system default.
- Save Grid — save your current layout.
- Load Grid — reapply your last saved layout.
- Reset Grid — clear filters, sorts, and column changes back to system default.
Show or Hide Columns
Click Columns on the right-hand side of the grid to open the column picker. From here:
- Check a box to add that column to the grid.
- Uncheck a box to remove that column from the grid.
- Use the Search field at the top to quickly find a specific column by name.
Any changes you make here are part of your grid layout, so remember to Save Grid if you want them to stick around the next time you load the page.
Save Your Current Grid
- In the grid header, click the three dots (⋮) on any column header.
- Click Save Grid. Your current layout is now the default when you load the grid.
Load Your Saved Grid
- Open a column menu.
- Click Load Grid to reapply your saved layout.
Reset the Grid (Return to Default)
Option A — Full layout reset
- Open a column menu.
- Click Reset Grid (clears filters, sorts, and column changes back to system default).
Option B — Clear filters only
- Click Reset Result Filters (button above the grid). Columns and sorts remain as-is.
Exporting Data
Click Export on the right-hand side of the grid to open the export panel. You have two options:
- Export filtered data — exports only the rows currently shown based on your active filters.
- Export all data — exports every row in the grid, ignoring any filters you've applied.
