Overview
The Sync All Vendors feature allows you to manually trigger a full sync of your vendor data back to your accounting system. This is useful when you want to make sure your accounting system reflects the most up-to-date information from VIVE without waiting for the next automated sync.
Pressing the Sync All Vendors button does not change or delete any of your vendor data, it simply sends the latest VIVE information back to your accounting system right away.
Note: This feature is currently available for Vantaca integrations only. It will become available for additional accounting systems in the future.
Who Can Use This
The Sync All Vendors button is available to the following roles:
- Client Admin
This is the same role that has access to the Accounting System settings page.
Where to Find It
The Sync All Vendors button is located on the Accounting System settings page, in the top-right corner of the page header next to the "Accounting - Vantaca" heading.
How It Works
When you click the Sync All Vendors button, the following happens:
- All of your linked vendor records are queued to be sent back to your accounting system.
- The system pushes the most current VIVE data for each vendor, including compliance status, payment hold status, insurance information, and more, based on your integration's configuration.
- Once the sync is complete, your accounting system will reflect the latest information from VIVE.
What Information Gets Synced
The information that gets pushed to your accounting system depends on how your integration is configured. This may include:
- Vendor active or inactive status based on compliance
- Payment hold status
- Insurance certificate information
- Legal name and DBA (for System of Record integrations)
- Address information (for System of Record integrations)
Note: Only vendors that are linked to a VIVE record will be included in the sync. Unlinked vendor records will be skipped.
Requirements
The following conditions must be met for the Sync All Vendors button to be available and functional:
- Your integration must be a Vantaca integration.
- Your integration must be set up as a two-way or System of Record integration. One-way integrations (import only) do not support syncing data back to the accounting system.
Tips & Frequently Asked Questions
Is it safe to press the button more than once?
Yes. The system is designed to prevent duplicate work. If you press the button multiple times, vendors that are already in the process of syncing will not be queued again.
Will this overwrite my data in the accounting system?
The sync pushes the latest VIVE data to your accounting system based on your integration's configuration. It does not delete or permanently alter vendor records, it simply updates your accounting system with the most current information from VIVE.
How long will the sync take?
The time it takes to complete will depend on the number of vendors in your account. The sync runs in the background, so you can continue using VIVE while it processes.
Will I see a confirmation when it's done?
After clicking the button, you will see a confirmation message that reads: "All linked vendors have been queued for sync." This lets you know the process has been initiated successfully.
